Opening: Operations Manager

The Naval Postgraduate School’s Center for Homeland Defense and Security (CHDS) has been the nation’s premier provider of Homeland Security education since 2002. Housed within CHDS, the Executive Leaders Program (ELP) offers an educational forum for senior-level homeland security and public safety leaders designed to enhance decision-making and foster collaboration to strengthen the security of the United States. ELP is in-residence a minimum of eight weeks of the year, with the potential to surge beyond that. The ELP team is seeking an Operations Manager to help facilitate the program both when in residence and when planning for in-residence weeks.

Strong candidates are able to work well within a team, anticipate project needs, discern work priorities, meet deadlines with little supervision, be willing to work occasional evenings and weekends to meet project deadlines, innovate with a focus on continual process improvements, and organize tasks to provide support to the staff, faculty, and guests of the Center to achieve the mission.

Job Type: Full-time, permanent (with a six month probationary period) *This role requires a minimum of 8 weeks in residence at the Naval Postgraduate School, with the possibility to surge in-residence periods beyond that. The remaining time may be fulfilled remotely.

Responsibilities

• Coordinate logistics/travel for up to 35 people at a time, including subject matter experts and guest speakers and/or participants. • Maintain guest speaker database • Help to prepare in-residence materials and supplies • Co-lead set-up and tear-down of events • Manage content on course websites • Prepare, analyze, and produce program evaluation surveys • Calendar, coordinate and host meetings, including on zoom and in-person • Learn and adhere to NPS-specific requirements or protocols to ensure smooth delivery of the program • Support the development of course content • Communicate with program Alumni and maintain related resources • Assist the team in continually improving processes and materials • Act as a liaison between ELP and other CHDS departments, when necessary • Other duties as assigned

Qualifications

The candidate should possess the following knowledge and skills and be able to demonstrate them with or without reasonable accommodation.

Requirements include: • Proficiency in all Microsoft Office applications, including OneDrive • Excellent written and verbal communication skills • Experience with administrative support • Ability to prioritize and complete multiple tasks simultaneously • Ability to efficiently troubleshoot issues independently • Ability to remain flexible as the program continually adapts and improves • Experience with Canva, Wordpress, Calendly, and Survey Monkey is a plus (the successful candidate will need to demonstrate facility with these programs within the first three months of employment)

Highly Desired: • Reservist, retired military, military spouse, or other identifying document which grants base escorting privileges

Education

Undergraduate degree OR over 8 years of demonstrably successful experience in a similar role

Experience

Five or more years of administrative and/or logistics support as well as comfort with executive-level communication. Experience in an academic or military setting is a plus.

Skills and Abilities

Physical requirement: The candidate must be able to lift and carry light loads without encountering any physical limitations. The candidate will be expected to assist with monthly event set-up.

$78,000,-$93,000
